Webdox was established in 2012 with a clear mission: helping companies manage their contracts easily and securely. Back then, the Chilean company focused on providing a platform for its customers to request, write, collaborate on, negotiate, electronically sign, and follow up on every contract in a streamlined way.
However, Webdox quickly saw the need for a server with high availability and latency in Latin America that could also provide artificial intelligence features. To that end, in 2017, the company decided to migrate to Google Cloud to deliver a product based on a robust, secure, and reliable infrastructure to its customers.
“Google Cloud has a very secure structure, allowing us to develop an extremely secure, scalable contract management solution for businesses, a very sensitive area for our customers.”
—Diego Morales, CRO, WebdoxThis growth opportunity not only meant the need for a powerful server, but also a comprehensive solution that would lead to a radical transformation in organizational culture to turn them into a fully digital company.
Today, nearly a decade after its inception, Webdox has established itself as one of Chile’s most important startups, with 130 customers in 12 Latin American countries, more than 60 employees working in several cities and new market perspectives.
Steps toward efficient change management
One of the biggest challenges faced by organizations around the world is how to establish a smart contract management system. In fact, Webdox found that inefficient management may cause revenue loss of up to 10%. In this respect, Google Cloud provides the Chilean company with robust infrastructure to meet customer needs.
The first step in the migration was configuring a VPN tunnel between the previous provider and Google Cloud to expose both networks to the same private network segment. Thus, they were able to transparently synchronize data from one endpoint to the other.
Another key element in the journey to Google Cloud’s cloud was Google Kubernetes Engine, which allowed the company to develop a secure platform and stop worrying about operational overload. Tools such as Cloud SQL, Cloud Storage, Cloud IAM, Cloud KMS, Cloud Load Balancing and Cloud CDN allowed processing of hundreds of thousands of documents in diverse formats in an efficient, scalable way. And with TensorFlow and AutoML, Webdox was able to optimize the execution of data workloads.
All this enabled the company to complete the migration in just under a month and quickly scale up its compute instances, from 20 CPU to 1,000 CPU in under five minutes, as it removed complexities associated with physical-layer security.
Webdox also increased the productivity of its developer team and its technical staff, who started spending their time on more complex tasks thanks to Google Cloud’s self-managed capabilities—for example, allowing the company to quickly process thousands of documents via OCR on a massive scale.
“As Webdox grows exponentially, processing hundreds of thousands of contracts is a complex task requiring an efficient cloud provider, with strict security standards and agile enough to adapt to our requirements quickly.”
—Cristian Cabrera, CTO, Webdox.Making processes efficient to ensure results
On its road to digital transformation, Webdox confirmed that Google Cloud is a comprehensive solution providing tools that address more than just structural needs. This results in more benefits in the company’s strategic areas and enhances the quality Webdox offers its customers.
The business area is also positively impacted, since the sales process has been streamlined. Customers are now more confident because they know their largely sensitive information is secure.
Furthermore, Webdox sees that every dollar spent on Google Cloud delivers more value than what other providers can offer. This means a better ROI, more benefits and higher cost-effectiveness, with Google’s technical support.
Growing constantly toward the future
Webdox spent 2020 experimenting with new changes in work culture. As the company focuses on technology innovation, and given the situation, it reassessed its position and underscored the need to keep growing by incorporating more cloud technology.
For Webdox’s team, Google Cloud became the strategic partner they needed to create new mechanisms with flexibility and remain on the path to growth.
For Webdox, developing a scalable product and streamlining processes are goals that go hand in hand with an improved user experience and more security certifications to consolidate customers’ trust.
“Our biggest challenge is growing with a more scalable solution for a much broader market, where we want to supply a streamlined, efficient contract management product for every business, regardless of size.”
