Overall cost savings thanks to migration
Minas Tênis Clube (MTC) is a social, sports, and cultural complex comprising two urban units and a rural one in Belo Horizonte, and a fourth unit in Nova Lima, a municipality in the metropolitan area of Belo Horizonte. The four clubs have a combined area of nearly 49,000,000 square feet and about 1,300 employees.
Some of the main aspects guiding the club’s priorities are innovation, process improvement, connectivity, mobility, and spreading knowledge. Consequently, a more intense use of technology has consolidated a structured process, based on a Computing Master Plan (PDI) created in 2017 to modernize the environment and achieve scalability, mobility, and security for IT-related activities.
MTC began its journey with a platform from another provider, involving the migration of a few secondary systems and testing. However, the team felt the need to look for a different solution to evolve the project for the other systems.
Challenges included significant cost savings, closer support, problem mitigation, business continuity, increased security, scalability, and usability.
When MTC contacted partner Qi Network, it introduced Google Workspace and Google Cloud’s features to the club’s team.
"At first, we planned to operate using Google Workplace’s enablements. We wanted to have email accounts in a stable environment and increase employee collaboration and integration. Qi offered us a prototype and from them on, we partnered," explains Marcelo Augusto Campolina, Minas Tênis Clube’s IT Manager.
Successful joint work
Supported by Qi Network, MTC began converting to Gmail in 2018, expanding its operations using the other collaborative tools available. In 2020, it began moving to Google Cloud and added even more services.
"Thanks to the excellent way the migration to Gmail was handled, we knew we’d have the essential security we needed to unify platforms under a single provider. The project was completed in stages over six months, but the main systems were easily converted in two months."
—Marcelo Augusto Campolina, IT Manager, Minas Tênis ClubeQi Network’s team and MTC’s communication team developed a project to pique the employees’ curiosity about Google Workspace and train them in its solutions. When the platform was delivered, everyone was already well-informed about how the apps worked.
Currently MTC has 1,576 active accounts featuring tools such as Calendar, Google Classroom, Drive, Docs, Gmail, Google Chat, and Google Meet.
"We created a delivery schedule for videos with trivia and explainers for the new assets. Interestingly, everyone was enthusiastic about understanding how apps work, which made training and support less urgent. As a result, we cut down on deployment costs."
—Marcos Gileno, Customer Solutions Architect, Qi NetworkMigration to Google Cloud involved the following portfolio: Compute Engine, Cloud Load Balancing, Cloud DNS, Cloud SQL, and Cloud Storage. These solutions made it possible to migrate most of MTC’s infrastructure to the cloud, including systems already hosted in another provider.
The process did not end there, however, as planning is ongoing, and settings are constantly adjusted based on Qi Network’s support. Even in the post-migration phase, teams hold meetings and training sessions, and make queries to continue evolving.
The cloud’s benefits
MTC is still closely monitoring and measuring results. It has seen an improvement in employee productivity and increased security and stability for the systems in the cloud, particularly concerning the correction of potential mistakes or any performance issues - a rare occurrence.
"We can mention other benefits, such as the lack of downtime periods throughout the migration, overall cost savings, improved support, improved asset management, and a comprehensive understanding of the tools," adds Marcos Gilano.
As for Google Workspace, other transformations brought by the migration include communication optimization using email, reliable file storage, file availability and ease of sharing, and increased collaborative work.
From now on, MTC intends to take everything that’s possible and simple to Google Cloud. With cost savings a priority, the team plans to migrate as many services as possible and turn training sessions into a reference point for employees.
"Our next mission is having our back-office in the cloud. That’s why all our systems need to be fully mature, as this will help us for the upcoming stage. We aim to have more comprehensive training to provide continuity for that tech/digital transformation."
