Royal Resorts records savings of 130,000 dollars a year from changing vendor
With Mexico being one of the 10 most visited destinations in the world, accommodation-specialized companies need to rise up to the challenge of constantly renewing themselves to stay competitive.
This was the scenario faced by Royal Resorts, a company with over 40 years of experience in the sale of timeshares, a model that has enabled the Mexican company to sell more than 100,000 memberships throughout its history.
The company has 50,000 active partners and around 2,800 employees scattered across units located in Cancun, Puerto Morelos, Playa del Carmen and Mérida.
Accelerating Processes with Google Workspace
After 40 years of operation, Royal Resorts needed to modernize itself to speed up internal processes, which had been stagnant for a long time.
One of the processes had to do with the way in which employees were working and how expensive it was to maintain desktop tool standardization in their computers.
"The idea to start improving some operations fueled our decision to look for something that would help us replace desktop standardization, with better pricing, better user collaboration, and sharing information more easily. That's when we reached out to Google,"

Also, we had the challenge of becoming more collaborative and we wanted to virtualize certain processes. That's when we reached out to Google," explains Carlos González, IT Corporate Manager.
The IT Department sought Google's help to face those challenges. That is how they got to Xertica, a Google partner in Latin America that supports companies with services and consulting focused on making the most out of Google Cloud tools.
Specialized in the application of a change management methodology to ease the transition to Google Cloud Platform, Xertica was in charge of the migration in a short period of time, around three months. The first to embrace the change were the members of the IT team. Then, the change spread across the entire organization.
"The change in paradigm allowed us to be more productive. All areas work much closer to one another now, ideas are shared more fluently with Google Docs and this enabled us to improve the services we offer guests. We have also witnessed savings in tasks such as contract review: before, going over contracts would take us a long time and making that process more efficient has had an impact across all business areas," emphasizes Carlos González, IT Corporate Manager.
With the deployment of Google Workspace, the Royal Resorts team realized that they could use Google Sites to achieve better project management.
"Google Sites is a much superior tool to what we used to have. This was a turning point that enabled us to build sites at amazing speed and develop services we just didn't have before. Building a site would take us two or three weeks. Now, we do it in a day. They are simple sites, where we upload information to collaborate and provide information to workers," explains Carlos González, IT Corporate Manager.

The support tasks they had to perform on computer desktops before have decreased by 80%, giving them more time to focus on other projects.
Making Time More Efficient with Google Meet
As for every other organization, for Royal Resorts, meetings are inevitable. However, the company faced the challenge of geographical distribution. Although many of the hotels are in neighboring areas, they are far from each other, and many employees had to move around often to attend those meetings.
"People would go from one hotel to the other and this meant wasting a lot of time. Those working at Merida had to come here constantly and we needed to solve how this was affecting productivity," notes Carlos González, IT Corporate Manager.
By using Google Meet, the problem was solved. Before, they did not have the possibility of holding video conferences and meetings online, a virtual model that reduced traveling times by half.
"Google Chat is the tool we use to communicate every day, we chat a lot. It allowed us to make a massive deployment of these communication channels and it was as easy as increasing bandwidth and providing everyone with an email account,"
—Carlos González, IT Corporate Manager.Some people had to travel every eight days. Now, they travel half the time: the travel one week and skip the next, and if they cannot be at a meeting physically, they are always connected with the rest of the team.
"Since the Google Meet deployment, traveling time was cut by half. Before, our employees had to travel to attend a meeting every eight days. Now, this happens every 15 days and if we can't arrange a good time for everyone, we can still be in contact. Plus, this translated into savings,"

But, no doubt, the most significant quantifiable savings came with the change in vendor, amounting to 130,000 dollars a year, according to the calculations of the IT Corporate Manager.
"We were able to massively spread the use of Google tools. Before, we had a license restriction but with Google it was as easy as increasing bandwidth and providing a Gmail account to all employees," adds González.
Royal Resorts has been working with Google Workspace applications for nearly five years and has managed to integrate those applications in its daily activities to better follow up all processes. They developed a site for their most important projects and the information created in these sites results in reporting and statistics.
"We have a dedicated mechanism tailored for the size of our organization and we have developed a process that gives us everything we need. Without Google's tools, this would be impossible," says Carlos González, IT Corporate Manager.
