With 42 years' experience in the medical and hospital services segment, Rede Mater Dei stands out as a comprehensive healthcare center that uses technology to deliver services with a customer-focused approach. The healthcare network consists of ten hospitals and one planning unit, with 4,000 direct employees, more than 4,000 physicians and over 1,000 active hospital beds.
Mater Dei's high-complexity, quaternary-care general hospitals provide individuals and families with care in various stages of their lives. However, even though tech is one of its mainstays, the institution was experiencing issues in some of its processes and needed to invest more in tech resources.
The healthcare network needed more autonomy to simplify work activities and transform everyday tasks in an agile, efficient, and secure manner. As it had 300,000 interactions with patients every month, the challenge was maintaining control over that data volume and ensuring the process was secure.
The sheer number of people involved in daily activities and patients being treated in hospitals led to additional challenges, such as scheduling appointments or enabling communication between physicians.
Mater Dei's existing tools were standalone and decentralized, which affected employee performance. As its network developed, they needed to assess alternatives to ensure collaboration, communication, and agility, and to protect patient data.

Mater Dei began the project to overcome all those challenges in September 2018 and completed it four months later in January 2019. The healthcare network was supported by Qi Network, which oversaw every stage of the migration to Google Workspace.
Qi Network sent the teams through true change management, setting a purpose and creating an engagement plan. Google Workspace's training platforms, including Training and the Learning Center, and Qi Academy's insights were essential for this process.

Leaders were involved in every step of the process. These employees now use Google Chat, Gmail, Contacts, and Calendar, leveraging every resource offered by Google Workspace's solutions.
"Productivity is a positive aspect we noticed about the tools. Whenever we need to schedule meetings or events with an attendance list, we send out Forms to fill in and collect data. We also use Forms to conduct industry and internal polls. In the end, this also helped make the internal and adherence processes easier," explains Mater Dei's CIO.
Based on perceived benefits
Another benefit that impacted productivity was that Mater Dei saved 2,150 work hours by reducing the number of trips between its healthcare units. It also reduced the number of emails exchanged between employees by creating an action plan and integrating employees through collaboration resources.
"Enabling communications between all professional healthcare workers and their units was one of Rede Mater Dei's main goals, and Qi Network strived to reach it. According to Mater Dei, Google Workspace gave more security and user data protection, improved internal communication through Google Chat, and helped employees meet their commitments and attend meetings. This can be seen in the 96% increase in adherence to the online calendar among its professionals.
As a result, the institution and its units expanded their activities, which in turn led them to make new decisions about the future.
"Rede Mater Dei has acquired a data company, and now all our plans assess this situation to take part in what is known as computing to the public cloud, ensuring a more hybrid environment. We will probably rely on Google Cloud as an option to do that."
