Migrated 30 TB in data to the cloud

The Regional Labor Court for the 3rd Region (TRT3) operates in the Brazilian state of Minas Gerais with the aim of solving labor-relations disputes quickly and effectively. It comprises 158 labor courts and two special offices encompassing all 853 municipalities in Minas Gerais.

TRT3 has a workforce of more than 4,500 professionals—public servants and employees—to cover such a large jurisdiction. The virtualization of litigation has become an increasingly large part of the Court’s routine in recent years. That change became even more evident with the COVID-19 pandemic, when the Court started using technology more intensively to support remote activities.

At the same time, TRT3 began searching the market for tools to improve employee collaboration. It then began a tender and selection process, whose main goal was to facilitate issues related to the functionality of collaborative resources. This led it to choose Google Workspace as the solution’s agility and security were impressive.

Planning and strategic migration

The partnership with RW3 Tecnologia proved essential to kickstart the migration during this transformation journey. The company had to migrate 30 TB and 5,000 corporate email accounts to the cloud. This was completed seamlessly by the Court’s and RW3’s teams.

The teams working on the project decided 5,000 Google Workspace test licenses were needed immediately to meet increasingly urgent demands, migrate the data, and maintain the continuity of communication and collaboration services for the Court’s users. The definitive licenses were acquired later.

“We adopted a differentiated strategy. The migration took place quickly, since we were able to meet our deadline for sending the email accounts to Google Workspace. We set up the required infrastructure, downloaded all the data, and took action to avoid snags in the event of terminating the previous contract.”

The Court’s professionals wanted to create a communication plan to reassure users dealing with the changes caused by the migration. Measures taken included mass training, actions under the remote education format—following templates from Google Classroom—email marketing campaigns, and promotion materials.

Besides speeding up engagement, TRT3 wanted users to learn best practices for using the solutions in a different environment. This is what eventually happened, achieving good results.

Leveraging resources and obtaining benefits

One of the main benefits was the creation of a remote citizen-service solution called Balcão Virtual enabled by Google Meet. Instead of citizens having to go to the courts for certain services, they can join a virtual room.

Another difference is that law professionals can now perform their duties remotely, supported by a collaboration platform. In the past, if a judge had to work, say, in the municipality of Monte Alegre and right after that in the city of Monte Azul, this would prove difficult or even impossible due to transport issues.

“We’ve cut back on travel expenses. Judges and deputy judges no longer need to commute so urgently because they can work remotely. It’s safe to say that the platform has helped cut down annual discretionary expenses, covering travel expenses and additional services, by 15%,” explains Gilberto Atman.

The Court is currently migrating files to Drive with a first goal of training staff from the IT department to do that. In the future, TRT3 aims to migrate files from other areas.

Law professionals can now also perform their tasks in a more agile and effective way by using other Google Workspace tools such as Chat and Docs.

“Chat and Docs have been integrated into the daily routine of employees writing and reviewing minutes. There are several committees with decision-making bodies and each has a collaborative space not only for reviewing documents but also for allocating tasks.”

After completing the implementation, RW3 had to provide a follow-up process together with the Court to help users become acquainted with every tool and answer their queries. This also helped identify where training and other needs were required.

“Being able to dialogue with our customers is ideal. Throughout this journey, we have seen that exchanging information is very valuable for regional labor courts. That is why upgrading the tools helps make work more efficient. Service quality and increased resources in Google Workspace provide even more benefits,” assures RW3’s Head of Operations.

TRT3 is now assessing whether to increase its usage of Google Workspace, especially Google Meet and Google Classroom (the latter as a training tool), as centralizing information and knowledge management in a single platform can increase convenience for users—yet another example of how collaboration-related projects are only expanding.
