Migration time shortened from three months to one month

When e-Xyon was founded in 2001, digital transformation was not a frequently discussed topic in Brazil’s legal industry. Bringing 100% web solutions to a very traditional market was one of the biggest challenges facing the company specializing in information technology for that industry.

“We noticed that lawyers were very uncomfortable with the idea of having their organization’s information stored on the internet,” says Allan Edward, e-Xyon’s CTO. Two decades later, the company has shown that opting for innovation was the right choice. With over 150 employees and three offices in Brazil, e-Xyon currently offers a comprehensive portfolio of services and digital solutions for companies handling complex legal-management activities, such as software licensing, legal data mining, and AI tools for process automation.

The legal technology market is heating up. According to consultancy firm Gartner, companies’ legal departments must triple their investments in technology from 2020 to 2025. Always looking to innovate and hone its solutions, e-Xyon realized a change was needed to become even more competitive in a context of increasing demand and emerging competition.

Migration in a third of the projected time

Since its establishment, e-Xyon has operated on a hosted infrastructure and worked with several data center providers. Even though its experiences differed with each of them, some issues were common to all. Unpredictability was a major factor—the company had to commission infrastructure for a period of time without actually knowing if it would fully use it or would need to expand it.

If demand did not match expectations, the company could not scale down the environment. “You spent months with excess infrastructure, paying for something you were not using,” explains Edward. And if demand surpassed expectations, they needed contractual additions and then they had to wait for the resource to be made available.

The hosting model’s lack of flexibility, scalability, and agility impacted the company’s business relationship with customers. “From the moment I had to overcharge my customers to take growth into consideration, I lost competitiveness because my infrastructure was not very flexible,” the CTO says.

The company decided to migrate to the cloud, and Google Cloud was the chosen destination because it offered the best conditions for a secure migration. The operation was also supported by another important partner, IPNET. For e-Xyon, having support from a partner with knowledge of Google Cloud’s solutions was essential since it was the company’s first foray into the cloud. “IPNET provided us with the technical security we needed to tackle this challenge,” Edward says.

Migration raised other issues requiring help from a team of experts. The company had 54 TB to transfer, with the move needing to happen as quickly as possible due to contractual issues with their previous provider. The process also had to take place outside business hours, preserve data integrity, and avoid any impact on its operations and services provided to customers.

According to e-Xyon’s most conservative projections, they would have only three months for the process. After performing a pilot test with IPNET, the company realized it could complete migration within a month. For IPNET, all parties involved working together was crucial for the project’s success.

“As the three parties—IPNET, e-Xyon and Google Cloud—worked together, the frictions that can happen in such a large project were avoided. Naturally, there were hurdles, but the project’s outcome is a product of the synergy and the mutual trust between all involved.”

Greater benefits at lower costs

e-Xyon chose to build a cloud architecture similar to the one it had in the data center to mitigate potential risks and optimize the migration time. Its systems, based on web services, file servers and databases, now run in Compute Engine, which allows virtual machines to be created and run in Google Cloud’s infrastructure.

The team has also begun using managed solutions such as Cloud SQL and App Engine and it is testing other tools to further evolve its architecture and products. Google Kubernetes Engine and Vision AI are being used by the company’s AI department in its solutions. Vision AI, for instance, was deployed in one of e-Xyon’s products to make available a resource that reads electronic litigation documents, updates them in the tool, and notifies lawyers.

The new infrastructure has increased the company’s autonomy, flexibility, and access to technology resources. “The IT area in particular saw in Google Cloud a chance to deploy technologies it would have a hard time applying under a traditional model, which entails much higher costs and effort,” the CTO remarked. Now it is possible to create environments more quickly and make the most of resources, depending on demand. This has generated cost savings of 35% versus the previous infrastructure.

“We no longer work with excess capacity. With the cloud, we have started using everything we pay for, with the differentiator of having Google Cloud’s entire structure available almost immediately for any additional increments if needed.”

Thanks to an improved financial management of resources, the company was able to adjust pricing for its services, factoring in that cost reduction. Improved service performance and availability has also positively impacted customers. Even if they face a sudden demand overload, the team can handle it immediately without affecting product performance.

To expand the possibilities of using the cloud and innovate further, the IT department is carrying out a lab process to become familiar with resources and test their application along with the company’s products. e-Xyon is still supported by IPNET and Google Cloud, including the offer of training and helping professionals with the tools.

“We meet on a regular basis to show them how much they are consuming and what they can improve. We are very present throughout this journey and remain in sync,” highlights Mariana Hilario, IPNET’s Customer Experience Manager.
