In the construction industry, no two building projects are the same, with their unique, physical nature making it hard to standardize how work gets done across teams. Valuable expertise rarely lives in a searchable database. Instead, it’s stored in the minds of experienced professionals, and for new employees, learning the ropes often means tracking these people down and asking questions. VELLOWS helps real estate and construction clients navigate this complexity, providing project, organizational, and building performance consulting to turn disjointed processes into repeatable successes.

As VELLOWS grew its own team across Switzerland and Germany, however, it encountered similar hurdles itself. Knowledge sharing became difficult across distributed offices.

At the same time, while employees knew AI could speed up daily tasks, the company lacked a standardized approach. Consultants experimented with various AI tools, but because of strict data privacy rules, they could not input sensitive information. This meant staff had to manually delete details before using AI to draft an email or document, which slowed work down and meant the technology could only be used for a fraction of tasks.

VELLOWS needed a secure, enterprise-grade AI solution that could connect seamlessly to its existing software and custom enterprise resource planning (ERP) system. The company chose Gemini Enterprise on Google Cloud because it offered strict Swiss and EU data residency governance, high-performing AI models, and a comprehensive cloud ecosystem. Working alongside Google Cloud Partner Zazmic, VELLOWS established identity federation, configured user roles, and quickly deployed its initial workspace connectors.

Surfacing years’ worth of company knowledge
with Gemini Enterprise

VELLOWS rolled Gemini Enterprise out to the entire company through a series of guided training sessions. Employees now use Gemini Notebook to analyze complex project documents and extract specific technical answers during meetings. Non-technical users use Agent Designer to build no-code personal agents to handle routine tasks, such as using Gemini models to draft emails that match their individual writing style. With Agent Search, meanwhile, VELLOWS enables employees to use natural language to instantly locate specific files across SharePoint and Outlook.

To solve the broader challenge of fragmented industry knowledge, VELLOWS built a curated knowledge database. Previously, expertise was scattered across unlinked project files.

Now, when a project finishes, staff upload key final documents along with descriptive metadata into the company's ERP system. A custom data pipeline moves these files to Cloud Storage on Google Cloud, where they are indexed into a structured data store. Surfaced inside Gemini Enterprise as a custom connector, this knowledge engine allows any consultant to query years of company expertise using plain text and receive instant answers alongside links to original files.

To address the time-consuming task of drafting client proposals, VELLOWS used Agent Development Kit (ADK) to build an automated assistant. The system uses an agentic architecture featuring a central orchestrating agent managing 24 specialized sub-agents in a sequential workflow. The system preserves state memory across each step, allowing sub-agents to perform web research, retrieve past proposal templates from the knowledge data store, and pull consultant availability from the ERP system before assembling a completed Word document proposal. Using a human-in-the-loop design, the agent prompts the user to review and refine each section before proceeding.

Drafting a comprehensive proposal previously took a consultant nearly 15 hours. With the custom agent deployed on Google Cloud, that time was reduced to approximately one hour, representing a 14x acceleration in proposal creation.

Building internal AI capabilities on Google Cloud is just the start. Having established a strong digital foundation, we now plan to use Gemini Enterprise to transform our expertise into digital offerings to help clients across the industry operate more efficiently.

Adopting Gemini Enterprise has helped VELLOWS standardize communication quality, streamline daily research, and save working hours across its team. This operational foundation has supported ongoing business growth, with VELLOWS expanding its commitment of 39 Gemini Enterprise licenses to accommodate new employees joining the firm.

VELLOWS is now deepening its technical capabilities by building additional custom connectors to its ERP system, with plans to host these integrations using Cloud Run. The goal is to fully capitalize on structured company data. For example, the team is developing an intelligent staffing assistant that will evaluate structured workforce data—including past project experience, language skills, and working capacity—to instantly match the best consultants to new client engagements.

While initial developments focused on professionalizing internal productivity, VELLOWS now intends to bring its new technology capabilities directly to its clients.

“Building internal AI capabilities on Google Cloud is just the start,” concludes Vondrasek. “Having established a strong digital foundation, we now plan to transform our newly established expertise through Gemini Enterprise into digital solutions to help clients across the industry operate more efficiently.”
