Five years ago, Webdox consolidated and started offering contract management web services, allowing users to manage legal documents from different companies in a simple and friendly fashion. It is a platform designed to manage the lifecycle of contracts, enabling customers to request, draft, collaborate in, negotiate, electronically sign and follow up all the contracts of an organization.

Webdox is a start-up headquartered in Santiago de Chile that grows exponentially every year, with presence in 6 Latin American countries. The company continues to grow with some of its largest corporate clients, such as The Coca Cola Company and Concha y Toro.

Since mid-2018, Webdox has been preparing its entry to the Mexican market.

Contract Management Using Artificial Intelligence

Webdox needed a high availability and latency server in Latin America that would also offer artificial intelligence functionality to manage contracts.

The company explains that bad contract management could lead to economic losses of 10% for a company. Thus, they needed to place all of their attention to contract management and streamlining, delegating all infrastructure needs on the server. Thus, having bulletproof technology was a basic requirement. Resorting to a multi-cloud system was imperative in light of the different compliance requirements customers needed to observe, which posed a technical challenge in terms of maintaining and configuring different systems.

As infrastructure grew, the time needed to administer resources increased. Thus, the company decided to migrate to Google Cloud Platform to secure the main benefit of using containers and Google Container Engine, so they could focus on product building rather than infrastructure maintenance.

Streamlining Processes with Microservices

In 2017, the company started migrating services to the cloud, especifically to Google Cloud Platform given the strength of the brand in Latin America, thus reinforcing not only the company's infrastructure but also consolidating the quality offered to its customers.

Webdox is an application built on Ruby on Rails and it uses a significant number of micro services for processing, document conversion and electronic signature deployment. The main tools used to achieve the company's goals are: Google Container Engine, Cloud ML, Cloud SQL, Cloud Storage, Cloud IAM and Cloud KMS, Cloud Load Balancer, and CDN. Using microservices, the company can process hundreds of thousands of documents in different formats with efficiency and scalability.

First, you could say that the company's technology department was the main beneficiary as many of the solutions needed to provide this contract management service depend directly on Google's solutions. However, the business area also benefited, as the sales process simplified because customers trust the company more knowing that their information, mainly sensitive data, will be protected by the leading brand in the sector.

Using Google Cloud Load Balancer is also vital for Webdox's business strategy, as it allows them to significantly reduce latency.

Moreover, the key differentiator was the possibility to quickly scale its processing instances, going from 20 CPUs to 1,000 CPUs in less than 5 minutes, all using fewer IT or DevOps resources thanks to GCP's self-managed tools.
